This Privacy Policy explains how Sam Consulting & Training B.V., trading as Sam’s Coaching Corner (“Sam’s Coaching Corner,” “we,” “us,” or “our”), collects, uses, and protects personal information about visitors to this website and people who use our coaching and training services.
This policy applies to the Sam’s Coaching Corner website and to any related communications — for example, contact form messages, booking enquiries, intake forms, newsletters, and emails between you and us. By using the website you confirm that you have read and understood this Privacy Policy. If you do not agree with it, please do not use the website.

2. The information we collect
We collect personal information in three main ways:
a. Information you give us directly. When you contact us, book a coaching or training session, sign up for a workshop or course, subscribe to our newsletter, or send us a message, you may provide details such as: your name; your email address and phone number; your employer or job title (where relevant to the coaching or training); and goals, challenges, or other information you choose to share in a message, intake form, or coaching session.
b. Information collected automatically. When you visit the website, certain information is collected automatically by our hosting provider and by analytics tools. This may include your IP address, approximate location (country/region), device type, browser, operating system, the pages you view, the date and time of your visit, and the website you came from. This information is generally used in aggregate form and does not by itself identify you.
c. Information collected through cookies and similar technologies. See the “Cookies” section below.
We do not deliberately ask for special categories of personal data (such as health, religious belief, or political opinion). Coaching conversations can occasionally touch on sensitive topics; anything you share in that context is treated as strictly confidential and is only used to deliver the service you have requested.
3. How we use your information and our legal basis
Under the EU General Data Protection Regulation (GDPR) we must have a lawful basis for processing your personal data. We rely on the following bases:
• To respond to your enquiries and provide the coaching or training services you have requested — necessary either to take steps prior to entering into a contract with you, or to perform our contract with you.
• To send you newsletters, updates, or marketing material — based on your consent, which you can withdraw at any time using the unsubscribe link in any of our emails or by emailing us.
• To keep records of bookings, invoices, and payments — based on our legitimate interest in running our business and on our legal obligation under Dutch and EU law to keep accounting records.
• To understand and improve how the website is used — based on your consent (for non-essential analytics cookies) or on our legitimate interest in maintaining a functional and secure website (for essential measurement).
• To comply with legal obligations — for example, responding to lawful requests from public authorities.
4. Cookies and analytics
This website uses cookies and similar technologies. Cookies are small text files stored on your device when you visit a website. We use them to: make the site function properly (essential cookies); remember your preferences; and understand how visitors use the site so we can improve it (analytics cookies, where you consent).

5. Sharing your information

• Service providers who help us operate the website and run our business — for example, our website host (GoDaddy), email provider, scheduling or booking tools, video conferencing tools used to deliver sessions, and payment processors. These providers are only permitted to use your information to perform services for us and are required to keep it confidential.
• Professional advisers such as our accountant or, where necessary, legal advisers.
• Authorities or other third parties where we are legally required to do so, or to protect our legal rights.
• A successor organisation in the event of a sale, merger, or restructuring of the business.
6. International transfers
Some of the providers we use are based outside the European Economic Area (for example, in the United States). When personal data is transferred outside the EEA, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses or an adequacy decision, so that your information continues to receive a level of protection essentially equivalent to that under EU law.
7. How long we keep your information
We keep personal data only for as long as we need it for the purposes set out in this policy. In practice this means:
• Enquiry and contact form messages: typically up to 24 months after our last interaction, unless you ask us to delete them earlier.
• Client records (coaching/training session notes, intake forms, agreements): for the duration of our engagement and for up to 7 years afterwards, in line with Dutch tax and accounting record-keeping requirements.
• Invoices and accounting records: 7 years, as required by Dutch tax law (Algemene wet inzake rijksbelastingen).
• Newsletter subscribers: until you unsubscribe.
• Website analytics data: for the retention period set by the analytics tool (commonly 14–26 months).
8. Your rights
Under the GDPR you have the right to:
• Access the personal data we hold about you.
• Rectify data that is inaccurate or incomplete.
• Erase your personal data (“right to be forgotten”), subject to certain exceptions.
• Restrict or object to our processing of your data.
• Data portability — to receive a copy of your data in a structured, commonly used format.
• Withdraw consent at any time, where we rely on consent (this does not affect the lawfulness of processing carried out before you withdrew it).
• Lodge a complaint with a supervisory authority. As we are established in the Netherlands, our lead supervisory authority is the Dutch Data Protection Authority (Autoriteit Persoonsgegevens), www.autoriteitpersoonsgegevens.nl. You may also contact the supervisory authority in your country of residence.
To exercise any of these rights, please email sam@samscoachingcorner.com. We may need to verify your identity before responding. We will reply within one month, as required by GDPR.
9. How we protect your information
We use reasonable technical and organisational measures to protect personal information against loss, misuse, and unauthorised access — for example, encryption in transit (HTTPS), access controls on devices and accounts, and working only with reputable service providers. However, no method of transmission over the internet is completely secure. Please do not send sensitive personal information (such as financial details) to us by unencrypted email.
10. Children
This website is not directed at children. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, please contact us at sam@samscoachingcorner.com and we will delete it.
11. Links to other websites
Our website may contain links to third-party websites (for example, LinkedIn Learning, scheduling tools, or payment pages). We are not responsible for the privacy practices of those sites. We encourage you to read their privacy policies before sharing any information with them.

We may update this policy from time to time. The most current version will always be posted on this page, with the “Effective date” at the top updated accordingly. If we make material changes, we will take reasonable steps to notify you — for example, by email or via a notice on the website.
